How personal information is handled, and how appraisal reports and client information are kept confidential.
This policy describes how Landsmith Appraisals collects, uses, discloses, and protects personal information, and how appraisal reports and client information are treated.
Information collected
Personal information is collected only as needed to respond to an enquiry and to complete an appraisal assignment. This includes contact details submitted through the quote form, the address and characteristics of the property being appraised, and information provided by the client or by parties the client authorizes, such as documents relating to the property, an agreement of purchase and sale, or instructions from a lawyer, lender, or relocation management company.
How information is used
Information is used to provide a quote, to schedule and complete an inspection, to research and prepare an appraisal report, to deliver the report to the client and the intended users, and to respond to questions about a completed report. It is also used to maintain the work file that professional standards require for each assignment.
Confidentiality of reports
Confidentiality is a professional obligation as well as a privacy one. Under the Canadian Uniform Standards of Professional Appraisal Practice (CUSPAP), the appraiser upholds the confidential nature of the member and client relationship, and does not disclose the analyses, opinions, or conclusions in an assignment to anyone other than the authorized client and those parties specifically authorized by both the appraiser and the authorized client to receive that information.
A party who is not an authorized recipient is not entitled to rely on a report and will not be provided with one. Where an additional party needs to receive or rely on a report, the client’s authorization is required, and the assignment is best set up on that basis at the outset rather than after delivery.
Disclosure
Personal information and assignment results are not sold, rented, or traded, and are not disclosed for marketing purposes. Disclosure is limited to the following circumstances:
- To the authorized client and the intended users identified in the report
- To parties specifically authorized by both the appraiser and the authorized client
- Where disclosure is required by law, or by a court, tribunal, or other legislative authority
- Where an authorized committee of the Appraisal Institute of Canada requests the information, and to the appraiser’s professional liability insurer or legal counsel, in each case subject to the confidentiality obligations that apply to those parties
Work file retention and security
A work file is prepared and retained for every assignment. CUSPAP requires that a work file be retained for a period of at least seven years after preparation, or two years after the final disposition of any judicial proceeding in which testimony was given or any professional liability insurance proceeding, whichever period expires last. Landsmith Appraisals retains work files on that basis.
Records are stored with access limited to the appraiser and to any person assisting with an assignment under an obligation of confidentiality.

Information submitted through the quote form on this website is transmitted by email to Landsmith Appraisals and is used only to respond to the enquiry.
This website does not use cookies, does not store information in the visitor’s browser, and does not use analytics, advertising, or tracking services. No visitor profile is created and no record of browsing activity is collected.
All files that make up this website, including its typefaces, are served from the site’s own hosting. The site makes no request to any external server, and no third-party service receives the visitor’s IP address or any other information as a result of visiting this site.
The hosting provider maintains standard server access logs for security and diagnostic purposes. The website and its backups are stored on servers located in the United States. Appraisal reports and client work files are not stored on this website.

A request to access or correct personal information held by Landsmith Appraisals can be made by email to info@landsmithappraisals.ca. Requests are responded to within the time required by applicable privacy legislation.
